If you’re feeling overwhelmed while trying to scale your therapy practice, I want to share the five productivity habits that helped me grow to 55 therapists in just three years (without burning out). These simple, but powerful, strategies will help you streamline your workflow, free up mental space and run your practice with more ease.

1. Use Siri to Capture Your Thoughts in Real-Time
Your brain is constantly processing ideas, client needs and business decisions. Instead of letting these thoughts pile up in your head or on scrap pieces of paper, use Siri (or your phone’s voice assistant) to set reminders instantly. Whenever an idea pops into your mind, just say “Hey Siri, remind me to…” and let technology do the rest!
Hot Tip: Use Siri to remind you of tasks while driving, in between sessions or when you’re with your family, so that you’re not constantly feeling like you’re forgetting something. Because even though you tell yourself you’ll “remember to write it down later”, will you really?
By offloading these thoughts in real-time, you free up your mental space and allow yourself to be fully present with your clients, your team and even in your personal life. The less you hold in your head, the more clarity and energy you have to scale your therapy practice effectively.
2. Organize Tasks with Your Phone’s Reminder App
Using technology to have efficient systems in place is one of my favorite things! Why work harder than we have to, right?
Once Siri has collected your reminders, the next step is to review and organize them. Set aside some time each day to triage your tasks.
- Urgent tasks go on a Post-it for immediate attention (more on this next!)
- Ideas & future tasks get moved to a designated note on my phone (i.e. blog ideas, team meeting agenda items, etc.)
- Small tasks that take five minutes or less? Do them right away.
By developing a habit of reviewing your reminders daily (I like to do this every morning), you’ll stay ahead of your to-do list without feeling overwhelmed. This structured approach also prevents small important tasks from slipping through the cracks, ensuring your practice operations run smoothly as you scale.
3. Post-it Notes for Urgent, High-Priority Tasks
Sometimes, as much as I love them, digital tools aren’t enough. This is where Post-it notes shine! If something is urgent and must get done today, write it on a Post-it and keep it somewhere you can see it.
Hot Tip: If you need to remember something before leaving the office, place a Post-it on your doorframe. That way, you literally can’t leave without a reminder right in your face!
4. Set Alarms for Time-Sensitive Tasks
If there’s something you need to do at a specific time, set an alarm or timer on your phone. This is especially helpful for things like:
- Posting content at peak engagement times (if you haven’t pre-scheduled).
- Following up on an important client referral.
- Blocking off time for deep work or creative tasks.
The key is to offload the mental load so you’re not constantly keeping track of everything in your head. Alarms and timers act as external reminders that keep you on track and ensure that important time-sensitive tasks don’t get lost in the shuffle.
Hot Tip: If you’re trying to develop a new habit (i.e. daily marketing efforts), setting an alarm as a recurring reminder can help keep you accountable.
5. Keep Running Notes for Key Meetings and Ideas
If you’re scaling your therapy practice, your leadership responsibilities are growing too. You should be keeping running notes on your phone for things like:
- Management meetings: Jot down topics throughout the week so your agenda is always ready.
- Supervision sessions: Track notes on therapist development, client concerns and action steps.
- Content ideas: Have a dedicated note for blog topics, social media content or marketing strategies.
By keeping all of these notes and ideas in one place, you’ll never have to scramble to remember important discussions or ideas. This habit also makes it easier to delegate tasks to your team and ensure that everyone stays on the same page as your practice grows.
Scaling Your Therapy Practice Without Burnout
I’m sure this will sound a little bit cliche, but the key to successfully scaling your therapy practice isn’t working harder. It’s working smarter. By implementing these simple habits, you’ll free up mental space, reduce stress and create a practice that runs more efficiently.
These habits may seem small, but they create a massive impact when practiced consistently. The less time you spend juggling mental clutter, the more time you have to focus on growth, leadership and your big-picture strategy!
