As a mom of twins and a former practice owner, I’ve been in your shoes, balancing clients, admin work and home life, all while trying to make room for some much-needed FUN.

With the holiday season approaching, I’m here to help you throw an unforgettable holiday party that lifts team morale, strengthens connections, and lets everyone breathe a little easier.

Because after a year of hard work, we all deserve a celebration that brings us closer together. Don’t you think?

Why Your Holiday Party Matters

Your holiday party isn’t just a chance to unwind (although that’s a great reason too!). It’s also a powerful way to build a sense of community with your team. And if you’re building a therapy team, it’s super important to create those moments that strengthen bonds and cultivate a positive, supportive culture.

This isn’t just a party, it’s an investment in your team! And at the end of the day, the success of our team is essential for the success of our group practice.

Essential Elements of a Successful Group Practice Holiday Party

If you’re planning a holiday party for your group practice, I recommend following these steps.

1. Set Your Goal

Ask yourself this question: “What do I want this party to achieve?” While unwinding and having fun is at the core, consider that your gathering is also an opportunity to connect as a team and celebrate the hard work everyone has put in over the last year.

When team members feel valued and connected to each other (and to you!), they’re more engaged and loyal.

2. Involve Your Team

Your team’s input matters, so involve them in the planning! Some ways to include them in the planning process:

  • Create a simple poll with potential party ideas or venues
  • Ask about preferred activities (i.e. Is it a sit down dinner or an activity like bowling)
  • Give them a say in the details (i.e. food choices or themes)
Involving your team fosters collaboration and ensures everyone feels seen and heard, which is key when building a therapy team that feels valued.

3. Plan Ahead

It’s never too soon to start planning. In fact, I’d consider planning in advance essential! By September, you should be securing a date and venue to avoid the last-minute scramble and ensuring everyone on your team can attend and feel included.

Early planning also gives you room to organize every detail with care so that the party truly feels like a celebration and not another task on your to-do list. Because a therapist’s work-life balance is important not just for your team, but for you too!

4. Set a Budget

I know, this is supposed to be fun! But stick with me here. 

Budgeting can be tricky, but it’s necessary for staying on track. A good rule of thumb is to allocate around $100 per person. This should cover things like appetizers, a main meal and a few drinks.

5. Choose the Right Venue

The location of your holiday party can make all the difference. Here are some venue ideas:

  • Consider hosting at home. This is a great option especially if you have a small team and a limited budget. Hosting at your home can be cost-effective, and it allows your team to get to know you personally, building a stronger connection. Unlike traditional restaurant gatherings, hosting the party at your house encourages mingling among guests. (Bonus: You could include fun activities like a gingerbread house contest or play board games).
  • Hosting at your clinic. If you have a large clinic, consider hosting your holiday party there! Fun Fact: I once turned my clinic into a vibrant holiday space complete with a dance floor, martini bar, and photo booth. This option gives you flexibility and saves on rental costs.
  • Embrace activity-based venues. Restaurants are fine, but they limit interaction and lack uniqueness. Consider activities like bowling, axe throwing, karaoke, escape rooms, cookie decorating, or even tobogganing!

6. Decide: Cater or Potluck?

I don’t know about you, but I believe that food is at the heart of every successful holiday party. Depending on your budget and the preferences of your team, consider:

  • Catering: Catering is a great way to treat your team – especially if your budget allows! It also takes some of the planning and organizing tasks off your plate.
  • Potluck: Hosting a potluck for your holiday party is a great way to foster a sense of shared contribution. And if you have a tight budget, this is a great way to save money or allocate funds elsewhere.

7. Diverse Drink Choices

Be mindful about offering a variety of alcoholic and non-alcoholic drink beverages for your team so that everyone feels included.

Tip: Let them know what will be available ahead of time so whether they drink alcohol or not, they can feel confident that there will be options for them.

8. Capture the Moments with Photography

You know that feeling of looking at a photo or video and laughing about the memories? Your holiday party should offer opportunities to make that happen!

Hire a photographer if possible or designate someone to capture candid moments throughout the party. Afterwards, print a few of the best photos and put them up in your clinic as a reminder of the team’s shared memories together. It may sound small, but these little touches can go a long way in building a connected, happy therapy team.

9. Virtual Celebrations are an Option Too!

Just because your team is virtual doesn’t mean you have to miss out on the good vibes. You can host an online holiday party with fun activities like:

  • Virtual Cooking or Baking Session: Imagine a virtual baking session where everyone joins on Zoom, making the same recipe, while enjoying laughter and holiday music.
  • Virtual Games or Trivia: Consider games that everyone can participate in.
  • Story Sharing: Encourage team members to share their favourite holiday traditions or memorable moments while you all share a meal virtually.

Tip: you can purchase e-gift cards for Uber Eats and send them to all of your team members so you can all share a meal together between fun activities!

When planned creatively, virtual holiday parties can be equally as enjoyable and team-building as in-person ones!

10: Embrace Your Presence as a Leader

As a practice owner, your energy and attitude set the tone for the event. Whether you’re an outgoing, bubbly person or more on the quiet side, show up as your authentic self. Being approachable and authentic encourages others to be themselves and enjoy the party as well.

Remember: The culture you create is a direct reflection of your leadership. If you’re outgoing like me, host lively parties. If you’re more reserved, plan a quieter one. There’s no right or wrong – it’s your involvement that makes the difference!

Planning a holiday party for your group practice may feel like just another task on your already overflowing to-do list. But it’s an important investment in building a therapy team that is connected and feels valued. A well-planned holiday event boosts morale, strengthens relationships and most importantly.. It’s fun!

And as you build a strong, happy team, you’re also setting the foundation for a group practice that doesn’t rely solely on you. Ultimately bringing you closer to the therapist work-life balance we all crave.
