Welcome therapists and group practice owners! I’m Nicole McCance, a psychologist turned business coach for therapists. I know far too well how overwhelming it can feel to be juggling clinical work, business management and everything in between. When I scaled my solo practice to a thriving group practice with 55 therapists in just three years, I had to overcome several roadblocks that were stunting my growth.
If you’re feeling stuck and struggling to scale your practice, I promise you’re not the only one feeling that way. Addressing these roadblocks will help you increase your private practice income, streamline operations and set yourself up for sustainable growth.
P.S. Not a huge fan of reading blogs? (I’m more of a podcast girl myself) You can listen to my podcast episode all about this topic by clicking here!
Roadblock 1: A Poorly Designed Website
The reality is that your website is often the first impression potential clients have of your therapy practice. If your site is outdated, confusing or lacks a clear call to action (CTA), you are very likely losing potential bookings.
What to Fix on your Website:
- Ensure your website is modern, clean and easy to navigate both on a desktop and on mobile phones.
- Have clear and bright “Book Now” buttons on your homepage and throughout your website.
- Use compelling messaging that speaks directly to your ideal client’s pain points.
- Show images of happy, engaged clients to help potential clients visualize success with your practice. (Yes, this means no more images of empty chairs or sad faces.)
Many therapists invest in Google Ads to drive traffic to their website. But if the site doesn’t convert, it’s like pouring water into a leaky bucket! Before spending on advertising or going all in on marketing, make sure your website is optimized to turn visitors into booked clients.

Roadblock 2: Not Using an Online Booking System
Clients are looking for convenience, not a scavenger hunt. If your practice relies on phone calls or emails for scheduling, you’re creating unnecessary friction in the booking process. An online booking system eliminates back-and-forth scheduling and lets clients book instantly! This is crucial because:
- Clients want instant confirmation that they have an appointment.
- You reduce the workload on your admin team (or yourself!).
- Bookings can happen 24/7, even when you aren’t available.
A seamless online booking experience can significantly increase private practice income by reducing missed opportunities and making it easier for clients to commit.
Hot Tip: Platforms like JaneApp integrate directly with your website and allow clients to see therapist bios, making it easier for them to choose the right provider before booking. Click here to try JaneApp FREE for a month!
Roadblock 3: Failing to Follow Up and Track Metrics
So many therapists lose revenue because they fail to follow up with potential and past clients. Clients may forget to rebook, get busy or assume they can always reach out later. And without proper tracking, you won’t know where those clients are dropping off.
How to Fix the Follow-Up Problem:
- Have your admin follow up with clients who don’t book after a consult call, cancel an appointment or don’t rebook.
- Use a therapist online booking system that sends automated reminders (like JaneApp!).
- Track no-show rates and rebooking rates to spot trends.
Even a simple follow-up email can encourage clients to rebook and help them stay on track with their therapy while increasing your practice revenue.

Roadblock 4: Poor Hiring Decisions and an Incomplete Interview Process
Hiring the right therapists for your dream team is one of the most important decisions you’ll make as a group practice owner. A rushed or incomplete interview process can lead to high turnover, client dissatisfaction and additional stress for you.
How to Hire For Your Group Therapy Practice:
- Conduct a two-step interview process, including a working interview.
- Look for candidates who are both clinically excellent and a cultural fit.
- Only hire therapists who genuinely impress you – don’t settle!
- Have a screening process to eliminate unqualified candidates before the interview stage.
Think of hiring for your practice as a long-term investment. A strong team will reduce your workload, attract more clients and allow you to increase private practice income by expanding your services.
Scaling Your Therapy Practice with Confidence
Growing your therapy practice doesn’t have to feel so overwhelming. By addressing common roadblocks like optimizing your website, using a therapist online booking system, following up with clients and improving your hiring process, you’ll set yourself up for sustainable growth.
